Austin Video Solutions / Specialty Archives / Austin, TX
Digital archive organization for collections worth keeping.
Digitization saves the media. Thoughtful cataloging preserves the context that makes it useful.
We turn scattered photographs, video, audio, artwork, documents and aging storage media into organized, searchable digital collections. Built for filmmakers, businesses, researchers, institutions, estates and families with complicated histories.
Illustrative archive structure — every project is tailored to its materials.
Ten thousand files are not an archive if nobody knows what they contain.
What we do
From disconnected media to a collection that makes sense.
Every archive starts with understanding the material. We build a practical system around what is actually there—not a generic folder template.
Collection assessment
Review formats, storage devices, directories, and file types. Identify what exists, what may be missing, and where the preservation risks lie.
Content discovery
Examine photographs, videos, audio, and documents to establish subjects, events, versions, and relationships when the evidence allows.
Organization & naming
Create logical categories, clear file names, and a navigable hierarchy suited to the collection and the people who will use it.
Catalogs & finding aids
Develop searchable inventories, descriptive metadata, file lists, and practical START_HERE documentation.
Digitization & restoration
Bring tapes, film, photos and audio into the collection. Restore selected images or enhance video where appropriate, keeping source and derivative files distinguishable.
Films & presentations
Build documentaries, anniversary films, historical presentations and other productions from material that is finally organized and accessible.
Who it's for
Built for people responsible for valuable collections.
Not every project is measured in gigabytes. Some are measured in years of work, institutional memory, or family history.
Filmmakers, artists & photographers
Camera originals, edits, exhibition documentation, photographs, audio recordings, project versions and deliverables—organized so work can be rediscovered and reused.
Researchers, nonprofits & businesses
Historical media libraries, recorded interviews, events, institutional archives, research collections, and the indexes needed to locate evidence and source material.
Estates, families & collectors
Inherited hard drives, old discs, personal video, artwork, photo collections and generations of family history brought together in a readable, usable archive.
What changes
The difference is more than tidy folders.
Names, relationships and context turn a collection of files into something another person can navigate without you standing beside them.

Our process
A method for even the messiest collections.
Talk through the goals
Who needs the archive? What must be found, preserved, edited, or delivered? What exists today?
Assess the sources
Review a representative portion of the collection and define the work, costs and priorities.
Organize & document
Identify, arrange, describe and index material; document uncertainties instead of inventing facts.
Deliver usable results
Provide an agreed archive structure, accompanying indexes and guides, and any selected media conversions or edits.
Practical deliverables
Useful now. Understandable years from now.
We use familiar, portable formats wherever practical, so your collection isn't dependent on a proprietary interface just to find a file.
Originals, working copies and enhanced versions are identified separately as the project requires. Preservation strategies are discussed upfront; archival organization is not the same thing as a guaranteed backup system.

Frequently asked questions
Questions worth asking before you begin.
You don't have to know how many files you have—or what every device contains—to start the conversation.
Do I need to organize anything before contacting you?
No. Mixed hard drives, unlabeled media, inconsistent names and incomplete collections are exactly the situations where professional organization can help. We first evaluate what is there.
Can you include older videotapes, film and photographs?
Yes. Austin Video Solutions also digitizes videotape, 8mm/Super 8 film, photographs, slides, negatives and audio recordings. Those services can be incorporated into a larger archive project.
Will you delete duplicates or change my original files?
We discuss the handling of originals, duplicates and working copies before any cleanup. The goal is to improve access without casually discarding the source material or valuable context.
Can you identify every person, place and date?
Not always. We can research clues in file names, embedded metadata and media content, but uncertain identifications remain marked for family or subject-matter confirmation rather than presented as facts.
How is archival organization priced?
Each collection differs in volume, format diversity, condition and level of description required. We review your objectives and source materials, then provide an estimate and defined scope. Digitization, restoration and editorial production can be quoted separately.
Do I need to be in Austin?
No. Projects can be coordinated remotely through agreed file-transfer methods or shipped-in media, subject to collection size and handling requirements. Local drop-off is available by appointment in South Austin.
Start with the collection you have
You bring the archive problem. We help make sense of it.
Tell us what the material is, how it is currently stored, and what you hope people will be able to do with it. Complex collections are welcome.
